This statistical report summarizes transactions for a group of customers and ranks them by their level of inactivity. Flexible criteria let you identify customers with low sales value, low transaction quantities or other measures of activity.
Choose Inactive Customers from the Reports menu to open the report criteria window. It contains the following fields:

Conditions: #
- Parent Account: Select a parent account, such as Customers or Suppliers.
- Item: Select an item to identify inactive customers based only on transactions involving that item.
- Item Category: Select an item category to identify inactive customers based only on that category.
- Branch: Select a branch to include only invoices issued in warehouses belonging to that branch.
- Warehouse: Select a warehouse to include only invoices issued in that warehouse.
- Cost Center: Select a cost center to include invoices involving that cost center.
- From Date / To Date: Specify the report date range.
- Description Contains: Enter text to include invoices whose description contains that text.
- Description Does Not Contain: Enter text to exclude invoices whose description contains that text.
- Advanced Customer Conditions: Set advanced customer filters based on fields in the customer record, such as name, mobile number, telephone number or city. Only customers matching these filters are included.
- Advanced Item Conditions: Use advanced item filters to select items based on their item record fields. For example, to include only items with size M, set the Size field to equal M in the Advanced Filters window, as shown below:

- Advanced Invoice Conditions: Set advanced invoice filters based on invoice fields, such as payment method or date. Only matching invoices are included.
Display Criteria: #
- Number of Customers: Set the number of customers to display. Entering 10, for example, displays the ten least active customers.
- Criterion: Choose the measure used to identify inactive customers: Total Quantity, Total Value or Invoice Count.
- Inactivity Threshold: Enter a numeric threshold for the selected criterion. For example, if Quantity is selected and the threshold is 20, a customer is considered inactive when the total item quantity on their invoices is 20 or less.
Currency: #
Select the currency in which the report should be displayed.
Exchange Rate: Specify the exchange rate relative to the base currency. This is available only for a secondary currency and offers two choices.
Use the Exchange-Rate Schedule: Retrieve exchange rates automatically from the schedule, using the rate applicable on each transaction date.
Use a Specified Exchange Rate: Enter a rate in the field that appears and use it to display the report.
- Use the Scheduled Currency Rate Instead of the Transaction Rate: Use the rate from the exchange-rate schedule instead of the original transaction rate. This option is used when requesting the report in the base currency.
Options: #
The options section contains:
- Show Sequence Number: Enable this option to display a sequential number for each customer in the report.
- Finalized Invoices: Enable this option to include finalized invoices.
- Unfinalized Invoices: Enable this option to include invoices that have not yet been finalized.
- Show Account Code: Enable this option to display the customer account code.
- Show Account: Enable this option to display the customer account.
- Show Total Quantity: Enable this option to display the total quantity of items on customer invoices.
- Show Invoice Count: Enable this option to display an Invoice Count column.
- Show Total Value: Enable this option to display the total value of items on customer invoices.
- Combine Account Code and Name: Enable this option to combine the customer account code and name in one field.
- Show Customers with No Transactions: This option controls whether customers without any recorded transactions appear in the report.
Show the Customer’s Last Transaction: #
- Transaction Type: Enable this option to display the transaction type, such as a sales invoice, purchase invoice, sales return or purchase return..
- Transaction Date: Enable this option to display The date of the customer’s most recent transaction.
- Transaction Value: Enable this option to display the value of the customer’s most recent transaction.
Customer Fields: #
Use this section to display details from the customer record, such as telephone, fax, mobile number or city.
Invoice Types: #
Use the Invoices section to select invoice types. Select sales invoices to identify customers with low sales activity, or purchase invoices to identify suppliers with low purchasing activity.
Important Note:
The Inactive Customers report is statistical rather than an inventory balance report. It does not display negative quantities or values. If sales and sales returns are both selected, their quantities and values are added together rather than subtracting returns from sales.
- Show: Display the report.
- Print: Print the report.

Practical examples of information available from the Inactive Customers report:
- Customers whose sales value is below 10,000 currency units.
- Customers whose sales quantity is below 150 units.
- Customers with fewer than 25 sales invoices.
- Suppliers whose purchase value is below 25,000 currency units.
- Inactive suppliers identified using cash purchase invoices.
- The least active customers based on finalized invoices, unfinalized invoices or both.
- The least active customers during the first three months or another specified period.
- The least active customers belonging to a specified parent account.
- The least active customers for a particular item.
- The least active customers for a particular item category.
- The least active customers for a particular branch, based only on transactions in its warehouses.
- The least active customers for a particular warehouse, based only on its transactions.
